Overview

Deutsche Post ITSolutions GmbH is an independent service provider within Deutsche Post World Net Group, tasked with sourcing high-quality IT solutions, to maximize internal efficiencies and reduce costs.

Challenge

Deutsche Post ITS was tasked with analyzing internal processes within the organization and determining areas of process improvement across departments including the Human Resource (HR) organization. The HR department at Deutsche Post is responsible for, among other things, handling the process of the billing of retirement payments. Inefficiencies, unbalanced workloads, and minutely-specialized employees led the organization to engage in an analysis of business process management as a solution to these issues. Deutsche Post ITS had already successfully deployed Metastorm BPM™ to automate, manage, and improve its purchase order management and contract order management processes. The management team at Deutsche Post used the experience and results from these projects to build an ROI model and project justification analysis for applying the same technology within the HR organizations.

Solution

As a result of its earlier successes with the solution and the ROI justification generated by the business users, Deutsche Post turned to Metastorm BPM to automate its pension process. The pension process was heavily human-centric and consisted of preparing a paper form for imaging, scanning the document into the system, and delivering these documents to an internal system for clean-up. With the use of Metastorm BPM, this process was fully automated using task lists to route the documents to the correct person for action. The documents are then archived and recognized by Deutsche Post’s SAP System.

Results

The project increased the operational efficiency of the Deutsche Post. Deutsche Post was able to reduce the number of locations dedicated to pension benefit Employees were able to optimize their work time because Metastorm BPM routed the tasks to the correct people, and it allowed employees to build more robust skill sets. This correction to the workload balance also helped to create a more efficient process. Now that the users were not narrowly working just on one task, they were able to visualize the entire process – this resulted in a more intelligent, more efficient workforce.

Not only have the HR employees benefited from the process, but the managers at Deutsche Post now have more information available for analysis and increased visibility into the process. These managers can use Metastorm BPM to analyze how many transactions a year they are performing and allocate the appropriate resources to them. Additionally, Deutsche Post has experienced a 100% ROI in less than two years with Metastorm BPM.

The installation of this system is another step that Deutsche Post is taking towards IT-supported business process control. The Human Resource team has seen a huge increase in efficiency since the system was introduced and is excited about further usage of Metastorm BPM.
