Brief Description of Functionality

The Email Event Management Process Pod framework is a library of example code to accelerate the development of a production quality email management service. It can easily be incorporated with any existing systems leveraging POP3 and SMTP to provide dynamic control for inbound and outbound email transmissions within any given business process.

For example, the Email Event Management framework can be configured to monitor inbound email messages to a designated mailbox. When a new email message is detected for the designated mailbox the business process is initiated by creating a new Metastorm folder – the attributes from the email such as sender, subject, message text (thread) and attachments are extracted and categorized within the newly created Metastorm folder without human intervention.

The Metastorm folder then becomes the central management for the newly arrived email along with any future correspondent email messages between the Metastorm BPM user and the originator of the email. This automated functionality ultimately frees up precious time allowing the participants to be more efficient in the process.

The Metastorm Email Event Management Process Pod® framework provides the following functionality and capabilities:

  • Initiates a folder for a process via inbound email
  • Auto generates acknowledgement of receipt with reference number
  • Updates the folder in the process via inbound email
  • Extracts contents from the email message into the folder without human intervention, for example: email address | email subject | email message contents | attachments
  • Auto populates folder data based on the email address
  • Automates email transmissions between the Metastorm BPM user and email recipient
  • Automates reminder email transmissions (requesting a response) to the email recipient
  • Provides greater overall visibility of the process status
